Manage customer order guides

Find out how to create a customer order guide, either as a bulk upload or by choosing individual catalog products.

Overview

During Cut+Dry launch, your customer's first order guide is usually created from your ERP automatically—from your customer's order history with you. However, customers can have as many order guides as desired, making ordering easier under different circumstances. 

You can create add and edit the items within a spreadsheet in two ways:

  1. Import products in bulk by uploading a spreadsheet.
  2. Add/edit products individually using your catalog. 

Tip: You can also download an existing order guide as a spreadsheet backup file before making a lot of edits.

 

Follow these steps to manage your customer's order guides.

Tip: Customers are also able to make and edit their own order guides, following these same steps!

 

Create an order guide

  1. Select Customers from the navigation menu.
  2. Find your customer, then select the Order Guide button on their row.

    Tip: You can search by Salesperson, use the customer filters, or start typing into the search box.

     
  3. Select +Create.
  4. Name the order guide, then select Submit.

Result

From here, you can either Import items via spreadsheet (in bulk) or Add items from catalog (individually).

 

Import items via spreadsheet

  1. Select Upload File.
  2. Select Download Template.
  3. Fill out the template file, using your catalog to source the correct Item Code for each product.
    Tip: Item code is the only required field. However, it may be helpful for your own reference to fill out the other fields.
     
    • Item Code: This is the primary field—this must match what is in your Cut+Dry catalog.
    • Item Name: This field is for your reference only; using a different name than is in the system will not change your catalog.
    • Section: A way to break up items into groups within the order guide, if a guide contains many items.
    • Location: This is useful if a customer has more than one location with different ordering tendencies; separate locations with a comma.
       Tip: A blank Locations field is interpreted by Cut+Dry as "any/all locations." We suggest you leave this field blank unless needed, to prevent errors with upload. 
       
  4. Save your completed spreadsheet.

  5. Select Upload Spreadsheet, then Next to upload your file.

Result

Your spreadsheet upload will either display a confirmation of successful upload or give you an error message.

Tip: You will also need to Configure customer order guide settings any time you create a new order guide.

Tip: To troubleshoot errors, select Download error file and review your specific error messages. After making corrections, you can Retry Upload with your corrected file.
 

Example

Here is a successfully uploaded template file with 3 items and its resulting order guide.

 
 

Add items from catalog

  1. Select Add from Catalog.
  2. Add an item by selecting the heart icon on the item. Find items to add by:
    • Using the search function, OR
    • Selecting an item section or category, then browsing
  3. Optionally, remove an added item by deselecting the heart icon on the product.
  4. Once finished with your edits, select Close Editor.

    Tip: Closing the editor saves the order guide in its current state.

     

Result

This customer's new "Spring Guide" order guide contains the two products we've just added. 

Tip: You will also need to Configure customer order guide settings any time you create a new order guide.

 
 

Edit an order guide

  1. Select Customers from the navigation menu.
  2. Find your customer, then select the Order Guide button on their row.

    Tip: You can search by Salesperson, use the customer filters, or start typing into the search box.

     
  3. From the Location/Guide dropdown menu, choose the order guide to edit, then select Edit.

Result

From this screen, you have several options for editing your order guide:

 

Download an existing order guide

In the Edit Order Guide screen, select Export Order Guide from the More Options dropdown menu.

Edit order guide via spreadsheet import

  1. Download the existing order guide.
  2. Open and edit the spreadsheet.

Tip:

  • Your new spreadsheet will override ALL previous content.
  • If you are uploading the same spreadsheet for multiple locations, make sure the Location column is blank. A blank Locations field is read as “any/all locations” and leaving it blank will prevent upload errors.
 
  1. Save the spreadsheet and reupload it by selecting Import Order Guide from the More Options dropdown menu.
  2. Select Upload Spreadsheet, then Next.

Result

Edit an order guide manually

  1. On the Edit Order Guide screen, you can add a new item to the order guide by selecting +Add from Catalog.
  2. Add an item by selecting the heart icon on the item. Find items by:
    • Using the search function, OR
    • Selecting an item section or category, then browsing
  1. Optionally, remove an added item by deselecting the heart icon on the product.
  2. Optionally, change how items appear within the order guide.
    1. Change item order: Hold the gray dots on right side of an item to move its place in the list order.
    2. Add a section: Select Add Section from the More Options dropdown menu.
    3. Delete or edit a section name: Selecting the pencil icon next to the section.
    4. Edit an item's properties: Select the pencil icon next to the item.
  3. Once finished with your edits, select Close Editor.

    Tip: Closing the editor saves the order guide in its current state.
